Privacy policy

All photographers working on site, even though supervised side-by-side with a childcare educator have completed the Foundations of Child Safety module of the National Child Safety Training (GECCKO). We also hold a current Working With Children Check.

Kindy Portraits does not sell, trade or share organisational data with unaffiliated third parties for their marketing purposes, nor do we use such data in any way not related to the purposes authorised by the organisation.

Kindy Portraits keeps all its electronic and physical data, such as photographs and customer information, physically locked up and password-protected. Locations include – the cameras we use to take the photos, which are always locked up, our main laptop which is password-protected and locked up, and backup hard drives that are also password-protected and locked up.

Kindy Portraits has implemented safeguards designed to protect against unauthorised access and disclosures of personal information and photographs under its control, including appropriate technical, physical and administrative safeguards and security measures.

Please be aware that websites that link to the Kindy Portraits site, such as Pixieset, or Shopify, may collect personal information about you. Some of these services may also store data on servers located outside Australia. You should consult the privacy policies of these other sites as we have no control over information that is submitted to, or collected by, these third parties. Please note, these websites are optional, so we can provide our service without them in some cases.

The only information Kindy Portraits have is provided by the ELCs that book us. This is normally the child's first and last name, and class. In some cases we are given the contact data of the families to send them their photos, but this is optional and only with parental permission.

Kindy Portraits will keep backups of photos taken for at least three years in at least two backup locations, on password-protected and physically locked hard drives. Please contact us if you'd like your child's photos deleted and we will ensure it is done.

Kindy Portraits takes all reasonable action to not unnecessarily release class photos with child identification information to anyone other than the families of the class that the child attends. Class photos are also optional.

Photo Gallery Delivery – Your Options

How we safely share images with Families for postpaid sessions, where every child has their photos taken and families get to see them prior to purchasing.

Option 1: Direct to Families (in an ideal world)

We put up posters advising families that the kindy will provide the photographer with their email and mobile number, so the photographer can send them their secure gallery and password directly. Families who don't want this can simply let the Director know to opt out. This is the simplest option and requires the least ongoing work from the ELC.

Option 2: Kindy Managed Distribution

The photographer sends the ELC a spreadsheet with a secure gallery URL and password for every child. Your kindy then distributes these directly to each family. This keeps all contact details in-house, but does mean extra admin work for your staff each time.

Option 3: Signed Permission Slip

Families sign a permission slip authorising the kindy to share their email and mobile number with the photographer. A sample permission slip is available to view here

Coming Soon: QR Code Sign-Up

We're also developing a QR code option - a printed code placed on each classroom door. Families scan it to reach an online form where they give permission directly, and the kindy can view responses to see who has and hasn't signed up. We'll let you know once this is ready to roll out!
